This Policy explains how Talentbank Sdn Bhd, Company No. 201801009748 (1271762-A) ("Talentbank", "we", "us"), collects, uses, shares and protects personal data. It applies to our website at talentbank.io, our events and programmes, and our general dealings with you. It should be read together with our Personal Data Protection Notice, issued under the Malaysian Personal Data Protection Act 2010 (PDPA), and our Cookie Policy.
Through this website we collect only the information you choose to give us through forms, such as your name, email, phone number, organisation, and the details in your message or sign-up. We do not take payments or provide logged-in accounts on this website. More broadly, depending on how you engage with us, we may also collect information when you register for or attend an event, subscribe to our content, or take part in our programmes, including images, audio and video recorded at our events.
We collect personal data directly from you when you contact us, complete a form, or take part in an activity. We collect some technical and usage data automatically through cookies and similar technologies, as described in our Cookie Policy. In limited cases we may receive information from partners such as universities, employers, or event co-organisers where you have engaged with them in connection with our Services. We also collect personal data when you register for or attend our career fairs and events. At our events, employers and exhibitors may collect your data directly, for example at their booth or by scanning a code, and where they do they are responsible for it as independent controllers under their own privacy notices. We may also photograph, film or record our events, which may include attendees; see our Terms of Service for how to ask not to be featured.
We use personal data to respond to your enquiries, provide the content or materials you request, organise and run our events and programmes, keep you informed about relevant Talentbank activities where you have agreed to hear from us, improve our Services, produce aggregated research and insights, and meet our legal and regulatory obligations. Where our Services connect talent with employers, universities or partners, we use relevant data for that purpose, and we will make this clear at the point of collection.
We process personal data on one or more lawful bases, including your consent, the steps needed to provide a Service you have requested, our legitimate interests in operating and promoting our work, and compliance with the law. Where consent is the basis, you may withdraw it at any time, though this will not affect processing already carried out.
We may share personal data with: employers, universities, sponsors and partners, where this forms part of a Service you take part in; service providers who support us, such as our website host, our forms provider, and our analytics provider (Google Analytics), and our email and communications platform, under appropriate confidentiality and data-protection terms; professional advisers and authorities, where required by law or to protect our rights; and a successor entity in the event of a reorganisation, merger or transfer of our business. We do not sell personal data. Where you are a candidate, we share your CV or profile with employers only where you have consented, and you can withdraw that consent at any time.
Where you have agreed, we may send you information about our events, content and programmes. You can opt out at any time using the unsubscribe link in our messages or by contacting us. We will continue to send you essential service messages where needed.
As we grow across the region and use reputable cloud and service providers, your personal data may be processed outside Malaysia. Where this happens, we take reasonable steps to ensure it is protected to a standard consistent with the PDPA and this Policy.
We keep personal data only for as long as necessary for the purposes set out in this Policy, and generally for up to seven years, reflecting the ongoing nature of career services and our legal, accounting and reporting obligations. We may keep some data longer where the law requires. You may ask us to delete your data, and we will do so where we are not required to keep it, after which it is deleted or anonymised.
We apply reasonable technical and organisational measures to protect personal data against loss, misuse and unauthorised access. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Subject to the PDPA, you may request access to your personal data, ask us to correct it, withdraw consent, or limit how we process it. To make a request, or to raise a concern, contact legal@talentbank.io. You also have the right to complain to the Personal Data Protection Commissioner.
Some of our audiences include school leavers. Our Services are generally intended for users aged 18 and over, and if you are under 18 you should provide personal data only with the consent and involvement of a parent or legal guardian. We take reasonable care with personal data relating to young people. If you believe we hold a child's data without appropriate consent, contact us and we will address it.
Our website may link to third-party sites and services that we do not control. This Policy does not apply to them, and we encourage you to read their privacy notices.
We may update this Policy from time to time. The current version is the one published on this site, with the effective date shown.
